Privacy Policy
Last updated: September 12, 2026
This Privacy Policy explains what information PharmaITCS ("we," "us") collects when you request a trial, use the cloud application, or download and use the desktop application, why we collect it, and how it is handled. It applies alongside our Terms & Conditions.
1. Information We Collect
When you request a trial on this website
- Your name, pharmacy name, phone number, email address, and pharmacy size, as entered in the trial sign-up form.
- Any plan you indicated interest in.
When you use the cloud application
- Account and staff details you set up (names, usernames/emails, roles).
- Your pharmacy's business data — medicines, prices, stock, sales, purchases, suppliers, customers, and prescription records — entered or generated as you use the Service.
- Basic technical data needed to operate the Service securely, such as sign-in timestamps and the audit log of in-app actions described in the User Manual.
When you download or use the desktop application
- A one-time, minimal installation record (that an install exists) so we can track how many installations are active — this does not include any of your business data.
- Your business data on the desktop application is stored on your own computer (or your own local network) by default, and is not sent to us, unless you explicitly enable an optional online feature (such as Pro-tier AI reading or the phone remote-control feature) that requires it for that specific action.
2. How We Use Information
- To respond to trial requests and set up your account.
- To provide, maintain, and improve the Service.
- To send you service-related communications, such as a confirmation that we received your trial request, billing notices, or important updates about the Service.
- To detect, investigate, and prevent misuse, fraud, or security issues.
- To meet legal, tax, and regulatory obligations.
We do not sell your personal information or your pharmacy's business data, and we do not use it for third-party advertising.
3. Who We Share Information With
We share information only with service providers who help us operate PharmaITCS, under agreements that limit their use of it to providing that service to us:
- Supabase — our database, authentication, and file storage provider. Your pharmacy's account and business data is stored here, isolated from every other pharmacy's data.
- Cloudflare — hosts this website and the cloud application's network layer.
- Resend — sends transactional emails, such as the internal alert we receive when someone submits the trial form, and any account emails sent to you.
- An AI provider — only where AI features are enabled for your account, to power invoice/prescription reading or the AI Assistant's narration. If AI is not enabled for your account, no data is sent to an AI provider for these features.
We may also disclose information if required by law, or to protect the rights, property, or safety of PharmaITCS, our users, or others.
4. Data Isolation & Security
Every pharmacy's data on the cloud application is isolated at the database level — enforced by the database itself, not only by application code — so one pharmacy's records are never visible to another. Access within your own pharmacy account is controlled by the roles and permissions your owner/administrator sets up, as described in the User Manual.
We rely on our infrastructure providers' security measures (encryption in transit, access controls) and apply our own access restrictions on top. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security, but we take reasonable, industry-standard steps to protect your information.
5. Data Retention
We retain trial-request information and account data for as long as reasonably necessary to provide the Service, respond to your inquiry, and meet legal or tax obligations. If you close your account or stop using the Service, we will delete or anonymize personal information within a reasonable period, except where we are required or permitted to keep it longer (for example, financial records for tax purposes).
6. Your Choices & Rights
- You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by contacting us at the address below.
- You can unsubscribe from non-essential emails at any time using the link in those emails.
- If you are a staff member of a pharmacy using PharmaITCS rather than the pharmacy owner, requests about your account data may need to go through your pharmacy's owner/administrator, since they control the account.
7. Cookies & Local Storage
This website and the Service use only the cookies and browser storage needed for them to function — such as keeping you signed in, or remembering items in a storefront shopping cart on a customer's device. We do not use third-party advertising trackers on this website.
8. Children's Privacy
PharmaITCS is a business tool intended for pharmacy owners and staff, not for children, and we do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the "Last updated" date above when we do, and for material changes we will make reasonable efforts to notify you.
10. Contact
Questions about this Privacy Policy, or requests regarding your data, can be sent to [email protected].
